Client Project Data
When we build or maintain software for a client, we may access systems and databases that contain personal information belonging to that client's own customers or employees. In that relationship we act as a service provider or processor: we handle such data only on the client's documented instructions and only as required to deliver the agreed services.
We use least-privilege access, we do not copy client production data to personal devices, and we remove our access when an engagement ends. Where a client requires a data processing agreement or business associate agreement, we are willing to enter into one.
Data Retention
We keep enquiry records for up to twenty-four months so we can follow up and maintain context on prior conversations. Records relating to signed engagements are retained for the duration of the contract and for as long as required afterwards for legal, tax and accounting purposes — typically seven years. Server logs are retained for up to twelve months. When information is no longer needed, we delete or anonymize it.
How We Protect Information
We use encryption in transit (TLS), access controls, multi-factor authentication on administrative systems, regular dependency patching, monitored infrastructure and encrypted backups. Access to enquiry and client data is limited to team members who need it.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and any applicable regulator as required by law.
